The Marketing Operations Project Coordinator is a proactive and collaborative self-starter responsible for overseeing project assignments and supporting the Project Manager with the intake, delegation, and tracking of creative marketing initiatives.
This role ensures compliance with FDA regulations in all creative requests, manages the coordination of business cards, and assists the Creative Lead in organizing freelancers. The Coordinator works closely with project stakeholders and facilitates clear communication of updates throughout the project lifecycle Keeping all stakeholders involved on task, the Coordinator will support the smooth operation of the creative marketing campaigns for multiple departments to achieve results, with direct support of the Project Manager, Marketing Operations.
Responsibilities
- Review and approve creative tickets in Workfront to ensure all information is included and ready to assign to designer. Work closely with Project Manager to determine which designer should take each project based on workload.
- Support Literature vendor relations, reprints & reorder notification and project requests, internal customer support & issue management.
- Request Part numbers and Purchase Order numbers from operations for all appropriate creative projects dictated by Project Manager.
- Manage the routing of new employee business cards, set up jobs and get approval from new hires via email.
- Execute proper archiving and filing of project files and FDA audit trail documents.
- Responsible for Quality Assurance approval; Analyze quality of final printed piece and adhere to FDA regulations.
- Quality assurance approval in project software (Workfront); analyze quality of final deliverables and adhere to FDA regulations.
- Help develop and maintain strong effective client/vendor relationships.
- At times, help coordinate printing & delivery schedules / coordination for internal customers.
- May support the coordinate the routing of printer proofs and printer proof approvals through our project management software: Workfront as needed.
- Work with Project Manager and Creative Lead to outsource requested freelance design needs from agency. Manage training schedule of freelancers, creating folders and gathering resources.
May perform miscellaneous tasks/projects as directed by manager.
Qualifications
- A Bachelor’s degree is preferred; however, a minimum of 4 years of equivalent work experience will also be considered.
- Extremely detail-oriented with strong organizational skills.
- Be a team player that can effectively collaborate and communicate diplomatically using strong written and verbal communication skills.
- Must possess excellent interpersonal, communication, organizational skills and ability to enjoy and thrive in a fast paced, high-volume environment.
- Proven experience managing multiple projects with multiple stakeholders.
- Works well under pressure.
- Excellent follow-through.
- Able to work autonomously or collectively in a high-pressure environment.
- Highly organized and able to multitask and pivot quickly based on organization needs.
- Knowledge of creative and production workflows a plus.
- Familiarity with Adobe Workfront or similar project management system a plus.
- Understanding of printing processes, digital media requirements understanding a plus.
- Experience with creative and/or marketing department operations.
