Basic Function: The Director of Marketing and Admissions is responsible for maintaining budgeted census levels through coordination of external and internal marketing efforts. This role ensures a high level of customer service in the admissions process for residents and families.

 

Education, Qualifications, Credentials: Education or experience in customer service or health care is desirable. A minimum of one year of experience in a health care facility is preferred. Knowledge of and sensitivity to the needs of the aging population is essential. The candidate should project a confident, credible professional image and possess effective communication skills.

 

Responsible To: Health Facility Administrator; indirectly reports to the Corporate Director of Marketing

 

Essential Functions (Prioritized in Order of Importance):

  • Responsible for meeting the community’s census goals, including Medicare and private pay census goals, in accordance with the community’s budget.
  • Maintain model rooms for touring purposes, pending bed availability.
  • Ensure responses to inquiries are handled properly, timely, and with appropriate follow-up for a 2-hour turnaround to discharge planners.
  • Follow-up activities include telephone contact, personal correspondence, and on-site appointments with family members.
  • Properly and accurately report all inquiries, admissions, discharges, and marketing sales calls in the Marketing/Admissions system leads.
  • Communicate closely with the Clinical Liaison regarding assessments and the approval process.
  • Maintain a close working relationship with Administrator, DON, and Business Office Manager to ensure appropriate decisions about prospective admissions.
  • Generate sufficient referral activity to meet the community’s census goals by establishing and maintaining relationships with legal and financial professionals, senior organizations, assisted living and senior housing facilities, special interest groups, churches, and other community contacts.
  • Actively participate in daily morning meetings to alert appropriate staff members of projected admissions, room changes, discharges, and appointments/tours.
  • Prepare appropriate admission papers and obtain signatures from patients or responsible parties prior to or at admission.
  • Enter all new admissions in Matrix and complete assigned duties on Pre-Admission Screening Checklist for PAS paperwork.
  • Periodically evaluate community admission processes for improvement.
  • Train and coordinate appropriate staff to serve as back-up whenever marketing staff is unavailable.
  • Maintain a working knowledge of Federal and State regulations and reimbursement (Medicare and Medicaid).
  • Prepare all required reports and monitor trends for inquiry, admissions, census, conversion, closing, and denials.
  • Maintain a database of referral contacts and community resources, along with knowledge of industry trends, local hospital and competitors, and legislative/regulatory issues.
  • Continually monitor and evaluate customer satisfaction and share results with the management team.
  • Research, suggest, and develop niche services to differentiate the community from competitors.
  • Monitor and participate in local health fairs, senior fairs, general community events, civic groups, and professional organizations.
  • Coordinate the development of community materials such as brochures and advertising.
  • Serve as a member of the internal marketing team to enhance resident and community relations.
  • Develop and implement quarterly marketing plans independently or in conjunction with the team.
  • Monitor and stay within the allotted marketing budget.
  • Develop and implement special events and presentations targeted at community education.
  • Exhibit excellent customer service skills at all times.
