Our Marketing group is growing, and we are searching for a Marketing Assistant to work collaboratively with business development, engineering project managers, and the marketing department on proposals and presentations. The successful candidate is creative, organized, and a detail-oriented self-starter with a strong work ethic and passion for producing high-quality work. The ideal candidate must possess meticulous attention to detail, exceptional writing and page layout skills, and the ability to ensure the highest standards in marketing collateral.

Responsibilities:

  • Provide support for the development of proposals, statements of qualifications (SOQs), and pre-qualification submissions: Ensure strict compliance with RFP/RFQ requirements, including page layout and design, writing non-technical portions, proofreading and formatting technical portions, assisting in managing the entire submittal from beginning to submission, and preparing interview materials.
  • Assist with proposal schedules: Keep internal staff and subconsultants on task, review, organize, and edit written documentation to improve clarity and precision.
  • Work with internal project managers, technical staff, and marketing staff across the firm: Gather and curate content for proposals and marketing initiatives with precision and attention to detail.
  • Assist marketing personnel and technical staff with proposal and marketing tasks: Provide detailed-oriented support as needed.
  • Assist in campaign development: Collaborate with the marketing team to develop creative ideas and concepts for marketing campaigns across multiple channels, including digital, social media, email, and print.
  • Support the management of company social media accounts: Schedule posts, monitor engagement, and respond to comments and messages with meticulous attention to detail.
  • Help create and proofread proposals and social media content: Ensure clarity, accuracy, and consistency in all marketing materials.
  • Assist in planning and coordinating marketing events: Such as career fairs and trade shows, ensuring all details are meticulously managed.
  • Other related marketing duties as needed: Execute tasks with a high degree of precision.

Requirements

  • Proven experience in marketing, proposal development, or related fields: Relevant experience is essential; a degree in Marketing, Journalism, Communications, Graphic Design, or related field is a plus but not required.
  • Proficiency in Adobe InDesign and MS Office Suite: Experience with other Adobe Creative Suite Programs (Photoshop and Illustrator) and Deltek/Vision CRM is preferred.
  • Excellent writing, editing, communication, and organization skills: A must for ensuring clarity and precision in all marketing documents.
  • 0-3 years of proposal development experience with an AEC firm preferred: Engineering experience preferred.
  • Exceptional time management skills: The ability to organize and prioritize multiple simultaneous projects in a fast-paced environment with meticulous attention to deadlines.
  • Self-starter, self-scheduler, and team-oriented individual: Capable of working well with different personalities and professional styles, and with all levels of staff.
  • Ability to travel and work unscheduled overtime: Sometimes on tight deadlines, with a commitment to accuracy and excellence.
