Oak View Group’s Business Development team is looking for you. As a Project Manager, Sales & Marketing Operations, you will own the creation and delivery of sales proposals, presentation materials, special projects, and other deliverables with the sole purpose of supporting our sales teams and driving business wins.

This PM will be responsible for guiding final products from start to finish with significant attention to strategy, detail, storytelling. Success in the role requires a self-starter, collaborator, and multitasker who can independently manage multiple projects while identifying opportunities to improve processes and challenge mediocrity to win and retain business. This individual will bring a thoughtful, team-oriented mentality to support multiple teams and lines of business, while instilling a culture of confidence and success.

This role will pay a yearly salary of $75,000 to $90,000 and is bonus eligible.

Duties and Responsibilities

Project Management

  • Independently lead projects, including the development of Request for Proposals (RFPs), Request for Quotations (RFQs), Requests for Information (RFIs), presentations, and other documents related to company solutions and services in the pursuit of new business and client retention.
  • Direct proposal kickoff and strategy meetings, as well as prepare detailed proposal plans, schedules, outlines, and compliance matrices for all phases of proposal and project development.
  • Manage deliverables and deadlines by establishing project priorities and due dates across all stakeholders and work teams.
  • Craft, collect, and edit proposal content to ensure compliance to RFP requirements, evaluation criteria, and technical requirements.
  • Work hand-in-hand with sales leads to successfully incorporate win themes, value propositions, strengths, risk reducers, and differentiated solutions into projects.
  • Contribute to the ongoing buildout and maintenance of templated content, graphic assets, supplemental materials, and other resources to ensure process consistency and efficiency.
  • Participate in presentation process, both onsite and virtual, including coordination of prep meetings, agendas, run -throughs, and more while working closely with graphic design and events team members to ensure all needs are met.
  • Research and analyze trends to drive innovation and competitive edge in both project delivery and overall industry presence.
  • Problem solve independently while effectively escalating any roadblocks to project compliance and success as needed.

Proposal Writing

  • Write persuasively and edit decisively to ensure all documents tell a cohesive story from cover to cover.
  • Craft and hone custom content including executive summaries, case studies, technical capabilities, resumes and bios, and more.
  • Provide writing guidance to subject matter experts to ensure proposal content is clear, accurate, and up to date.
  • Strong aptitude for improving organization, flow, readability, completeness, and clarity of proposals.

Team Collaboration

  • Collaborate with Graphic Design/Creative Team to translate win themes and project details into client-focused design briefs and templates for use across all associated deliverables.
  • Lead debriefs with project teams after completion to identify key areas of opportunity, drive accountability, and ensure continuous improvement.
  • Collaborate closely with team leads, internal contributors, partners, and subject matter experts to gather, hone, organize, and capture relevant information.
  • Lead with a team-focused mentality, willing to proactively help team members succeed when needed.

Nonessential Functions

  • Bachelor’s degree from an accredited college/university with major course work in Marketing, Business, Communications or related field required
  • Minimum of 3 years in RFP response development, project management, and sales & marketing operations development
  • Highly developed verbal and written communications skills; must have a thorough understanding of grammar and strong copy writing/editing skills
  • High proficiency in applications including Microsoft Word, Excel, PowerPoint, Keynote, SharePoint, and Adobe Creative Suite.
    • InDesign experience and skills are a huge plus!
    • Loopio or other RFP management platform experience a huge plus!
  • Ability to work in a deadline- and results-driven environment
  • Flexibility to work beyond normal business hours and travel as needed, up to 30%
  • Excellent organizational skills, detail-oriented with ability to handle multiple assignments concurrently
